For planning data uploaded by a customer about its technicians, customers, job sites, or contacts, the customer normally determines the purpose of processing and DispatchPing acts as its service provider or processor. The customer is responsible for its notices and legal basis for that data.

We receive data directly from users and organization administrators, from files and instructions submitted through the service, from authentication and billing providers, and automatically when the service is accessed. If an organization uploads information about other people, that organization is the source of that data.

We disclose only the data needed for a provider to perform its function. Current infrastructure may include Clerk for authentication and organizations, Stripe for subscriptions and billing, Vercel for application delivery, Nebius and AWS-compatible infrastructure for compute and storage, Trigger.dev for background job orchestration, and Google mapping services when route or geocoding functions are requested.

We may also disclose information to professional advisers, authorities, or counterparties where required by law, needed to protect rights and security, or necessary for a corporate transaction subject to appropriate safeguards.

Some providers may process data outside your country. Where applicable, we rely on an adequacy decision, approved contractual safeguards such as standard contractual clauses, or another lawful transfer mechanism. You may contact us for information about the safeguards relevant to your data.

We retain account and service data while an organization uses DispatchPing and for a reasonable period afterward to close the account, resolve disputes, secure the service, and meet legal duties. Planning history follows the subscribed plan. After a downgrade, affected archives may remain recoverable during a 90-day grace period and for up to 12 additional months before deletion.

Billing and accounting records may be kept for statutory periods. Security logs are retained only as long as reasonably needed for investigation and prevention. Data in backups is removed through the normal backup lifecycle.

The public site stores a language preference in your browser so your selected language persists. This preference is functional and is not used to track you across services. Non-essential analytics is disabled unless a separate consent mechanism is introduced.

Authentication and payment providers may use technologies that are necessary to secure sign-in, prevent fraud, maintain a session, or complete a transaction. Their own notices explain those activities.

DispatchPing uses automated optimization and may use AI-assisted processing to map columns or interpret planning inputs. These functions produce operational recommendations for human review; DispatchPing does not use them to make legal or similarly significant decisions about individuals on its own.

We use measures appropriate to the service, including organization-scoped authorization, encryption in transit, restricted production access, hashed API credentials, signed downloads, webhook verification, and operational logging. No internet service can guarantee absolute security; customers must also protect their accounts and devices.

Depending on applicable law, you may request access, correction, deletion, restriction, portability, or object to processing based on legitimate interests. Where processing relies on consent, you may withdraw it for the future. Send a request to support@dispatchping.com; we may need to verify your identity.

You may also lodge a complaint with the data protection authority responsible for your place of residence, work, or the alleged infringement.

We may update this notice when the service, providers, or legal requirements change. The effective date above identifies the current version. Material changes will be communicated through the service or by email where required.
